UNIQUE MAILCHECK SYSTEM

Datagraphic has recently installed new equipment capable of reading and recording personalised security documents before mailing. The “MailCare” system was custom built to Datagraphic’ specifications. High-speed cameras and software utilise the latest “2-D” Barcode technology and OCR. The equipment is capable of reading A4 documents at up to 20,000 per hour.

2D Mailcheck Machine“Mail-Check” is used by Datagraphic to check all secure documents before mailing. The system creates audit files of security documents, in particular cheques. A small “2-D” (two dimensional) barcode is printed in the address area of the document during laser personalisation. The unique barcode is read into the system through the window of the sealed document. A text file is automatically created and compared to the original file supplied by the customer. Any discrepancies or missing documents are established and corrected before mailing.

Mailcheck MachineThe alpha-numeric 2-D barcode can contain up to 64 characters and is designed to include the cheque number, account number, mailsort code, job number and even the cheque value printed if required. The system is also used to check and sort documents in mailsort order.
”Our cheque laser personalisation, fulfilment and mailing service has really taken off in the last 12 months. We can no longer rely on manual checking to ensure that what we mail is the same as the data received. Customers and banks want to feel confident that no cheque is missing, duplicated or posted to the wrong person,” says Datagraphic’s MD Scotch Kirkpatrick.
